Business Manager

We seek an experienced Business Manager who is compelled by our organizations’ dedication to youth development and the successful operation of organized camps. The Business Manager is a key executive reporting to the Executive Directors and is responsible for the business office, human resources, and portions of facilities and transportation. The position requires active leadership, interaction and collaboration with the executive team, program directors, staff, vendors and customers. The Business Manager is responsible for ensuring legal compliance and managing all business operations.

Our team stewards two respected and established organized camp brands.  Catalina Island Camps (“CIC”) was established in 1922, has been led by current management since 1994, is a summer resident camp serving children in Grades 2-9, and operates the Catalina Environmental Leadership Program (“CELP”) serving school groups during the school year.  Tom Sawyer Camps (“TSC”) was established in 1926, has been led by the Horner family since the 1970s, is a summer day camp serving children in Grades PK-8, and operates an after-school camp at four Pasadena area schools during the school year. All programs seek to help youth develop life-long skills through fun and unique outdoor experiences in communities that cultivate respect for self and others. Essential Functions

  • Oversee the financial sustainability of the camp programs, CELP, and after school camp
  • Supervise daily business office activities
  • Supervise daily cash management for both camps which are held by separate “C” corps
  • Provide support to program directors and staff as necessary for the purpose of daily operation of the programs
  • Supervise – Bookkeeper, Human Resources Manager, Corral Manager, and Shop Manager

Budgeting and Financial Reporting

  • Work with the executive team to develop operating and capital budgets
  • Supervise monthly accounting procedures including:
    • Monthly closing procedures
    • Prepare budget manager reports
    • Prepare quarterly financial statements for the executive team
    • Establish and implement proper internal controls to safeguard company assets
    • Develop and maintain accurate financial reports
    • Oversee compliance with operating and capital budgets
    • Ensure proper filing of all governmental tax forms

External CPA’s & Investment Advisors

  • Assist executive team with selection and supervision of independent CPA’s
  • Work with CPA’s to facilitate annual compilation reports and corporate tax returns
  • Oversee preparation of trial balances, AJE’s, and all schedules to the financial reports
  • Interface with CPA’s bookkeeping service as needed for accurate reporting
  • Interface with external financial advisors for the 401(k) plan
  • Interface with TPA as needed for Profit Sharing Plan contributions

Executive Team

  • Prepare agendas for and attend all executive team meetings
  • Provide staff support for all strategic planning and corporate meetings & off-sites
  • Act as a strategic thought partner with the executive team

Technology

  • Manage and maintain Microsoft 365 accounts, files, and servers
  • Serve as primary interface with technology vendors
  • Manage and maintain VOIP phone system
  • Maintain all vendor websites (i.e., merchant accounts, gas cards, payroll service)

General Accounting

  • Manage Accounts Payable process & ensure timely payment of invoices
  • Oversee Payroll process ensuring accuracy and interfacing with Paychex as needed
  • Assist registrars with Accounts Receivable
  • Oversee management of petty cash

Facilities Management

  • Supervise Corral Manager to ensure safe, cost-effective operation of the corral and the wellbeing of 17-50 horses
  • Support corral and park maintenance to ensure proper repairs and long-term upkeep
  • Supervise Shop Manager to ensure safe transport of campers, thorough vehicle maintenance, and efficient camp operations during summer
  • Develop and manage capital projects which may include a CIC master plan
  • Assist the executive team with negotiating all lease renewals
  • Ensure proper maintenance of the corporate offices and initiate capital projects

General Responsibilities

  • Perform duties as outlined by the executive team
  • Participate in the semi-monthly executive team meetings (Sept. – May)
  • Conduct weekly Business Office meetings to coordinate departmental efforts
  • Perform oversight of all risk management programs including insurance coverage
  • Manage compliance with government regulations
  • Oversee all HR matters including compliance, initiatives, and employee benefits including medical/dental insurance, 401(k), and other programs
  • Review and implement technology strategies, priorities and projects in support of all administrative functions
    • Represent the camps as requested at various regional and national associations
